Student Applications

Use the Student Applications page to view, add, edit, or delete applications for a student. The records in the grid are sorted in ascending order by the Campus column.

If your institution requires an application for each enrollment, you can use the information from the application when you enroll a student. Once the student is enrolled, the application is no longer displayed in the list of applications.

Your institution can define custom properties that are unique to your institution using the Extended Properties page (Settings > System > Extended Properties).

The Extended Properties section on this page displays all the fields that your institution has defined so that you can view and edit them. Because the fields vary by institution, your institution will provide tooltips or additional information. If your institution has not configured extended properties, this section is not visible.

To enable Application Responses for a student, you must have saved the student application.

Your institution can track applications that may be associated with campuses that are not listed on the Student Profile. The ability to manage application records for multiple campuses requires enabling Allow Enhanced Student ApplicationClosed Select Yes to add an application for the campus listed in the student's Student Profile and also for the campus you have access to. Select No if you only want to add an application for the campus in the student's Student Profile. Only staff members who have access to the campus associated with the student application will be permitted to modify the record. Refer to Advanced Features.

Add or Edit an Application

  1. Review the record values.

    The columns in the grid depend on your institution's configuration of Allow Enhanced Student Application.

    If Allow Enhanced Student Application = Yes:

    Application Received Date

    CampusClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    CatalogClosed The catalog contains the courses required for a program version or area of study. Catalogs are configured by your institution. If all the campuses within a campus group are configured with Enable Catalogs, this field is displayed as required. The Default - None catalog should not be used.

    Expected Start DateClosed This field represents the student's expected first day of attendance. It is used for planning and reporting purposes. The value may differ from the actual start date if the student delays or defers. The field is often auto-populated based on the Version Start Date selected during application entry. It can also be manually adjusted during enrollment setup.

    ProgramClosed The name of the program. Programs are configured by your institution.

    Program CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    Program VersionClosed The program version associated with the student or item.

    Program Version CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    Student StatusClosed The prospect or student status at your institution is configurable and may differ by school. When you change a student's status, you must confirm the update in a dialog box, and if there are pending tasks from the previous status, another dialog lets you choose which tasks to keep or close as canceled. A student's current status (like Active) depends on their history and activation units; simply entering a Version Start Date does not automatically activate them without proper status progression. Status values help filter student records in lists, processes, and reports. Alumni statuses include "complete" or "graduated."

    If Allow Enhanced Student Application = No:

    Admissions RepresentativeClosed The Admissions Representative for the student. If a staff member is removed from an Admissions Representative group after having been assigned to a student, Anthology Student retains the name of the former representative on the student record. This property is populated based on the campus selection. This property supports Equals and Starts With as operator options.

    Application TypeClosed The type of application. The application types are configured by your organization.

    Area of StudyClosed The various areas, such as Major, Minor, or Concentration, that the students have taken to complete their degree. The areas of study are configured by your institution.

    Billing Method Closed The method used to bill for the student. For example, monthly, term, course, and so on. They are configured by your institution.

    Credits RequiredClosed The number of credits or hours required for the course, program version, or enrollment.

    Enrollment StatusClosed Select the enrollment status to which the academic year applies. The values are Less Than Half Time, Half Time, 3/4 Time, Full Time, and Default. If you select Default, Anthology Student uses the values for any enrollment status that you do not configure as a fallback. For example, if you configure Academic Year 1: Enrollment Status = Full Time and Academic Year 2: Enrollment Status = Default, then Academic Year 1 will apply only to students who are Full Time. Academic Year 2 will apply to students who are not Full Time, i.e., Half Time, ¾ Time, or Less Than Half Time, because those statuses were not explicitly configured elsewhere.

    Expected Start TermClosed Specifies the term associated with the record. Terms are configured by your institution. The term start date must be before the end date of the award year.

    Grade LevelClosed The grade level for the student. Grade levels are configured by your institution and do not have to correspond to the option on the FAFSA or Stafford loan forms. The grade level is assigned to a student under Academic Records > Enrollment > Progress section. For a student to qualify for federal financial aid, a college grade level (1st year, 2nd year, etc.) must be assigned. For a Graduate PLUS loan, the grade level must be configured with the Department of Education ID 7 (Graduate/Professional or beyond). For award year 2026-27 and forward, graduate and professional students are reported to COD using new two-character Student Level Codes. The prior codes (6 and 7 for Graduate/Professional) are retired for 2026-27 forward. Undergraduate codes 0 through 5 are unchanged for all award years. Codes 6 and 7 remain valid for prior award years. COD Reject Edit 208 fires for any 2026-27 record submitted with Student Level Code 6 or 7. The new codes are: • 8 (GNP - Graduate Never Professional) • 9 (GwP - Graduate was Professional) • 10 (PNG - Professional Never Graduate) • 11 (PwG - Professional was Graduate) • 12 (GCE - Graduate Concurrent Enrollment) • 13 (PCE - Professional Concurrent Enrollment)

    Grade Scale Closed The grading parameters used by your institution to evaluate the academic achievements of the students.

    Hours RequiredClosed The number of credits or hours required for the course, program version, or enrollment.

    Pending Enrollment NumberClosed The tentative number assigned to the enrollment based on the parameters specified by the institution.

    ShiftClosed Select shifts associated with the students. Only students who are associated with the selected shifts will have statements generated.

    Status ReasonClosed Reasons why students change from one status to another status. The reasons are configured by your institution.

    Version Start DateClosed The start date of the program version for the campus that the student is enrolling in.

  2. To:

    • Add an item, select New or Add

    • Edit an item, select its Name

  3. In Pending Enrollment Information, review, specify, or change the values.

    Application TypeClosed The type of application. The application types are configured by your organization.

    Area of StudyClosed The various areas, such as Major, Minor, or Concentration, that the students have taken to complete their degree. The areas of study are configured by your institution.

    When using the applicant record to enroll a student, you must ensure that the Program Version and Enrollment Status fields are populated on the applicant record so that Anthology Student can build the academic years.

  4. In Date and Student Status, review, specify, or change the values.

    Admissions RepresentativeClosed The Admissions Representative for the student. If a staff member is removed from an Admissions Representative group after having been assigned to a student, Anthology Student retains the name of the former representative on the student record. This property is populated based on the campus selection. This property supports Equals and Starts With as operator options.

    Application Received Date

    Enrollment DateClosed The actual date when the student enrolled in the program version.

    Expected Graduation Date Closed The expected graduation date is the sum of the student’s start date, the total duration of the program (in weeks, including externship/internship time if relevant), with adjustments made if the student has fewer credits required due to transfer credits or other prior coursework. If there are holidays or calendar breaks configured in Academic Records > Calendars, these may impact the date if edited, but the standard calculation path does not automatically account for them.

    Expected Start DateClosed This field represents the student's expected first day of attendance. It is used for planning and reporting purposes.     Expected Start TermClosed Available terms with start and end dates for each term. This field is disabled if you have specified the Version Start Date in the Pending Enrollment Information section.

    Externship Start Date

    Financial Aid Entrance DateClosed The date when financial aid was first requested for the student.

    Midpoint DateClosed The estimated midpoint date for the program version for the listed start date.

    Notes

    Pending Enrollment NumberClosed The tentative number assigned to the enrollment based on the parameters specified by the institution.

    Status Date

    Status ReasonClosed Reasons why students change from one status to another status. The reasons are configured by your institution.

    ZoneClosed If zones are configured for your institution, the zone. Zones are calculated using the direct line distance between the ZIP code of each campus and the ZIP code of the student's address. Your institution can also configure options specific to a foreign country (outside of the ZIP code system).

  5. In Application Responses, review the Code and Name values.

    Take the appropriate action.
    Task Action to Take

    Add or edit an application response

    1. If you want to:

      • Add a new list item, select Add on the toolbar. Anthology Student displays the Add Application Response dialog.

        In the dialog, specify the ApplicationClosed Displays the application that the students will use during the admissions or housing process. Applications are configured by your institution. The list displays only the applications that have at least one question configured by your institution. value.

        Select OK.

      • Edit an existing list item, select the name

    2. In the Add Application Response dialog, review, specify, or change the values. The values depend on the selected application.

    3. If you want to:

      • Save and close, select Save & Close

      • Clear, select Clear Answers

    To delete application responses, select records in the grid and select Remove.

    Preview or print the application response
    1. Select the application.

    2. Select Preview. Anthology Student displays the Preview dialog.

    3. To print the application, select Print. Review the print settings and select Print.

  6. If your institution has configured extended properties, complete the fields under Extended Properties.

  7. Save your changes.

The Financial Aid business process will determine which data (Version Start Date or Expected Start Term) will be used to calculate the academic years for the applicant when both fields are populated.

Delete an Application

  1. Highlight the record you want to delete.

  2. Select Delete on the toolbar.

Limitations

You cannot delete an application record if an enrollment is associated with the application and financial aid is linked to the enrollment. When you attempt to delete the application, a message may indicate the following:

"The enrollment could not be deleted because financial aid grants and /or loans exist for it."

If the earlier enrollment was withdrawn and a new enrollment exists, you can move the financial aid awards to the new program version using the Update Award Information process (refer to Update Award Information ). After updating the award information, you can delete the application. If you decide that you do not want to move the financial aid, the two program versions will always appear for this student.
