Student Statuses & Colors

Use the Student Statuses & Colors tab from Status Changes page to:

  • Add or edit the student statuses

  • Edit the color to emphasize the status category of the current student

Prerequisites

Authorizations:

  • System - Settings - Manage

To edit an item associated with multiple campuses, you must have access to all assigned campuses. If you have access to only some of the campuses, you can view the item but cannot edit it. When adding an item, you can select only campuses you can access.

You should also be familiar with the Background for Status Changes.

Access

Settings > System > Status Changes

Add or Edit Items

  1. Select the Student Statuses & Colors tab.

  2. To filter the list, specify the following value.

    Status CategoryClosed The category for the status. It can include more than one student status. They are defined by the system and selected for the student statuses configured by your institution.

  3. To:

    • Add an item, select New or Add

    • Edit an item, select its name

  4. Review, specify, or change the values.

    ActiveClosed Specifies whether the associated record is active.

    Campus GroupClosed The group you specified for the campus. Your institution configures the groups for campuses.

    CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    NSLDS StatusClosed The National Student Loan Data System (NSLDS) status associated with the System Status. The status is assigned by the National Student Loan Data System (NSLDS) to be used for SSCR Processing.

    Status DescriptionClosed The detailed description provided by your institution for the student's status.

    Status Represents a Title IV WithdrawalClosed At some institutions, students who are no longer attending classes are left in an Active/Attending status so that they can still log into the Student Portal. In this scenario, the "Status Represents a Title IV Withdrawal" check box can be selected to indicate that the status represents a withdrawal for Title IV purposes. If this attribute is selected, the Status Change process will treat a status change from an Active status to the new Active status with the Title IV withdrawal attribute as if the status change was from Active to Drop for purposes of determining the NSLDS Withdrawal Date, Date of Determination, and other downstream impacts to Financial Aid, Student Accounts, and other reporting (such as enrollment reporting and Clearinghouse). This check box is displayed only when Attending is selected for System Status, and Withdrawn is selected for NSLDS Status.

    System StatusClosed The status of the system. For additional information about system statuses, refer to the background information for status changes.

  5. Save your changes.

Configure a Student Status for Withdrawn with Ability to Register

You can configure a student status that reports the student as withdrawn, but keeps the student active so that they can log into Student Portal to register for courses. When an active student is changed to this school status, Anthology Student will treat the status change as an official or unofficial withdrawal in the appropriate locations. For example, in:

  • Determining the NSLDS Withdrawal Date and Date of Determination
  • Financial Aid (such as canceling any future aid)
  • Student Accounts (such as refund calculations)
  • Reporting (such as enrollment reporting and Clearinghouse)

The student can log into Student Portal to register.

To configure the status, you must select:

  • Attending for System Status
  • Withdrawn for NSLDS Status
  • The Status Represents a Title IV Withdrawal check box

The example shows a student status of withdrawn with ability to register.

Update Status Category Colors

You can use the Student Statuses & Colors tab from the Student Statuses page to edit the color to emphasize the status category of the current student.

  1. Select the Student Statuses & Colors tab.

  2. Select Update Status Category Colors.

  3. In the dialog, review, specify, or change the value LeadClosed Select the color code required for lead category..

  4. Select the options to configure the following lists.

    List Options

    Degree Seeking Colors

    Applicant ProcessingClosed Select the color code required for the applicant processing category.

    ActiveClosed Select the color code required for the active category.

    EnrollmentClosed Select the color code required for enrollment category.

    Never AttendedClosed Select the color code required for the never attended category.

    Permanent OutClosed Select the color code required for permanent out category.

    Temporary OutClosed Select the color code required for the temporary out category.

    Non- Degree Colors

    Active

    Enrollment

    Never Attended

    Permanent Out

  5. Select Save to save the changes.  

Delete or Deactivate Student Statuses

You can delete or deactivate student statuses.

  • Deleting an item permanently removes it. No record of deleted list items is maintained in Anthology Student.
  • Deactivating an item keeps a record of it in Anthology Student (preferred). It can no longer be assigned to a student or record but remains assigned as it was previously.

If an item: 

  • Is not associated with a student or record, you can delete or deactivate it
  • Is associated with a student or record, you can only deactivate it
  • Is associated with Automated Awarding, you cannot delete or deactivate it

Delete Items

  1. Highlight the item.
  2. Select Delete on the toolbar.

The item is:

  • Removed from, and the list is redisplayed
  • No longer available for selection

Deactivating Items

There is more than one method for deactivating an item.

Method Procedure Result
Using a button
  1. Highlight one item.
  2. Select Deactivate.

The item: 

  • Remains displayed with No in the Active column

  • Is no longer available for selection

Editing the item
  1. Select the item name.
  2. In Active, select No.
  3. Select Save and Close.

Because the item is not removed, you can also make it active again by selecting Activate.
