Add or Edit Human Resources (HR) Information for Staff

Use the Human Resources (HR) information page to specify HR related information for staff members (such as their position, department, and Social Security Number). For staff members who are in a group configured with a Parent Group of Instructors (code TEACH), you can also select instructor attributes.

You can also add instructors and admission representatives and specify their HR information from more than one location in Anthology Student.

The remaining prerequisites apply to specific cases.

To edit the values for System Administrator (code ADMINISTRATOR), you must be logged in as the System Administrator.

To edit the Employee Number:

  • Anthology Student must not be integrated with Anthology Finance & HCM

  • Your institution must have selected No for FM for Anthology Finance & HCMClosed Select the option to integrate Faculty Workload Management for Anthology Finance & HCM. This option is enabled only when Anthology Student is integrated with [Anthology Finance & HCM. when it configured the settings for Academic Records (Settings > Academic Records > General)

To add attributes for instructors: 

  • You must have configured instructor attributes (Configuration > Academic Records > Instructor Attributes)

  • The staff member must be a member of the staff group with the code of TEACH

Add or Edit Information

  1. Review the following read only fields:

    Date HiredClosed The date when the staff member was hired.

    DepartmentClosed The department associated with the record.

    Employee IDClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    PositionClosed The position at your institution for the staff member.

    Social Security NumberClosed The Social Security Number (SSN) or an equivalent value associated with the person. You must be authorized to work with SSNs. If the SSN format is defined for the country selected in the profile, this field will display the appropriate input mask to specify a value. You can specify free-form text values (maximum 30 characters) in this field if there is no SSN format defined for the selected country.

  2. Review, specify, or change the values. This is editable exclusively for FHP integrated staff members.

    Certifications Closed The certifications held by the admissions representative or staff member. Instructor AttributesClosed Attributes associated with an instructor or course. Instructor attributes are configured by your institution and associated with the instructor when they are added as a staff member to Anthology Student. Course or course list attributes defined by the institution are associated with the course or course list on the program version level. When courses are copied, and attributes are selected, Anthology Student copies the course attributes using the Attributes, Skills & Resources tile to the new course.
    DegreesClosed Degrees are formal academic qualifications awarded to students upon completion of requirements for a program or major. For example, Associate, Bachelor’s, or Master’s degree. Degrees are linked to specific program versions and may include minors or concentrations. The Degree Progress Audit (DPA) ensures students meet all requirements for the degree.

    NotesClosed Area that displays, or that you can use, to specify comments or additional information related to the record or subject.

  3. Save your changes.

Important Note:

When utilizing Faculty Workload Management and HR integration is not enabled, the position and department fields display departments and positions available in Faculty Workload Management.

To select a department for a staff member, a drop-down (multi-select) menu is available with options from Faculty Workload Management departments. Users can select departments only from those configured within Faculty Workload Management.

The position field will be read-only and automatically populated with the position assigned to the faculty or staff member. Any positions already assigned to the staff member from the Staff Position Assignment configuration screen appears on this screen, but positions cannot be assigned from this screen.

If the Primary Position assignment to the staff is active, it will be displayed as the position. However, if the Primary Staff Position is inactive, the first active secondary position assigned to the staff will be displayed instead.
