Staff Groups Tab

Use the Staff Groups tab to organize staff members into logical groups (for example, departments and job functions). For example, for all groups you can specify workspaces, default password profiles, and designate a group as a group of advisors. The staff groups you specify here can then be selected for staff members on the Staff Members tab.

For instructors and admissions representatives, you can create permission templates to quickly add and manage staff. Staff members added to a group automatically inherit the template’s permissions, eliminating the need to assign permissions individually.

For instructors, you can also select their attributes when you add them on the Staff Members tab.

The grid contains system-defined staff groups (such as a group for instructors, administrators, advisors, and staff groups required for other product components like Portal).

If your institution admits international students, you must manually add an International Advisor with the code INTADV. It is not system defined.

To quickly add representatives, you must either: 

  • Configure a template with a Parent Group of Admission Group Rep, Yes for Setup Template, and specify the permissions

  • Change the value for Set Template to Yes and specify the permissions for the system-defined group Admissions Rep

To edit the Code for a staff group, the staff group must not be selected as an automated delegate staff group for Financial Aid Automation (Financial Aid Automation).

You can filter the list by specifying all or part of the name in the search box at the top of the page.

Add or Edit Items

  1. Review the record values.

    Admission Representative Group Closed Indicates whether the staff group was configured with a Parent Group of Admission Rep Group. If the column displays Yes, the staff group is an Admission Rep Group and was configured as a template. Templates can be configured to specify specialized permissions.

    Advisor TypeClosed The type of advisor (such as Academic Records, Admissions, Financial Aid) when a staff group has been configured as a group of advisors.

    CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    Date AddedClosed The date when the item or person was added or the status change was entered.

    Date ModifiedClosed The date when the item was changed. On some pages, the date also includes the timestamp.

    Instructor GroupClosed Indicates whether the staff group was configured with a Parent Group of Instructor Group. If the column displays Yes, the staff group is an Instructor Group and was configured as a template. Templates can be configured to specify specialized permissions.

    Modified ByClosed The name or user ID of the person who changed the item.

    NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    SystemClosed Specifies whether the value is system-defined. Yes indicates that the item is defined by Anthology Student. No indicates that your institution added the item. You cannot delete or deactivate items that are system-defined. Some or all values might also not be editable.

  2. To edit a new staff group, select the name. To add a staff group, select New on the toolbar

  3. Review, specify, or change the values.

    AdvisorClosed If the staff group is for advisors, select the advisor code. When you assign a staff member to one or more staff groups, the staff member appears in the drop-down list for that advisor type. Do not select an advisor code for non-advisor staff groups. If you select Admissions, Anthology Student does not display the group in the drop-down list displayed when selecting Advisor Group for Assign To while configuring scheduled tasks.

    CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    Password ExpirationClosed If your institution is using the Anthology Student database as its Authentication Mode, the date the password will expire. Anthology Student calculates the value using the date when the staff member was added or last changed their password and the value for Password Expiry Days in the password profile. The default is 01/01/9999.

    Password ProfileClosed If your institution is using the Anthology Student database as its authentication mode, the name of the password profile that provides basic password functionality (such as password expiration, password reset, and password rules). Password profiles are defined by your institution.

    WorkspacesClosed Indicates the option to configure and customize the home screen. The options are Class Scheduling and Standard Homepage.

  4. To create templates for instructors and admissions representatives, select a value other than None for Parent GroupClosed For groups of Instructors and Admissions Representatives, select the type to set up a template so that you can specify the permissions for the group. Any staff member you add to the staff group inherits the specialized permissions selected for that group..

    If you selected a value other than None, Anthology Student changes Set TemplateClosed If you selected Instructor Group or Admission Rep Group in the Parent Group list, Anthology Student sets the read-only value to Yes to indicate it is a template. to Yes.

  5. If you selected: 

    • None for Parent Group, select Save, Save & Close, or Save & New on the toolbar.

    • Instructor Group or Admission Rep Group in the Parent group field, Anthology Student displays tabs to select permissions for the group.

Complete the Tabs for Templates

The table shows whether the permission can be selected: 

  • For individual staff members

  • When you configure templates for groups with a value of Instructor Group or Admissions Rep Group selected for Parent Group

For example, you cannot specify Automated UserClosed If you are using Financial Aid Automation (FAA), select the check box to specify that the staff member is the automated user. You can only specify one staff member. The staff member must be active, unlocked, must have a password that does not expire, and All Campuses must be selected for the Campus Group. The automated user can then be selected from the drop-down list to resolve Exception Processing Auto Resolve Type III exceptions. Anthology Student assigns all exceptions that are auto-resolved by the pool to the Automated User, except for the original exception that was resolved. for a group, but you can specify it when you add or edit the staff member.

General Tab
Settings Group Members
Allow Access to Global Student SearchClosed Select this check box if you want the staff member to be able to use the search in the command bar to search all students on all campuses in the system. If a student belongs to a campus where the staff member is not authorized, the student will show up in the search results, but they will not be able to display their Student Profile. For this option to work for staff members, your institution must also have selected Yes for Allow Global Search on the Settings page. (Settings > System > General.) When not selected, Anthology Student limits the search to the authorized staff member's campuses. X X
Allow access to Social Security Number on UIClosed Select this option to allow the staff member to view social security numbers (SSNs) on specific forms and on the Setup Template for Instructor Groups and Admissions Rep Groups. X X
Allow edits to Zip Code ZoneClosed Select this option is you want to give the staff member permission to change the value in the Region on a student inquiry (Students > select the student > Admissions > Inquiries). X X
Allow reporting access to Social Security NumberClosed Select the check box if you want the staff member to view, print, and export social security numbers (SSNs) for all reports from the Reports tile and when they export lists that contain columns with the social security number. The social security number will be a selectable option from the Student ID to Print drop-down list on the Report Selection Information page, will appear on the selected report, and will be available for export. This feature applies to custom reports that use Anthology Student stored procedures. If the SSN is a specified field on the report and the staff member or staff group does not have permission, the phrase "SSN Blocked" is printed on the report instead of the social security number. The SSN is also not displayed for export. X X
Allow User to Cancel Class SectionClosed Select this check box if you want the staff member to be able to use the Cancel Class Section option on the class scheduling page.   X
Allow User to Customize Search FormClosed If you selected the Allow Access to Global Student Search check box, you can then select this check box to specify that staff members can customize the Search results page displayed using the search in the command bar. The default is No. X X

Select from the properties for Student Search Result PropertiesClosed In the grid, select the properties that you want displayed as the default properties in the student search results for the staff member. If the staff member customizes the properties, the first and last names cannot be removed. If you want to include all the properties as the defaults, select the Select check box in the column heading of the grid.

Allow User to Clear Waitlist Closed Select the specialized permission if you want the staff member to be able to use the Clear Term Waitlists option from the More menu on the Class Schedules tab on the Class Scheduling page. Limitations

You cannot edit items marked Yes in the System column; these are defined by Anthology Student.

Delete Staff Groups

Deleting a group:

  • Does not delete any staff members in the group
  • Permanently removes the group

No record of deleted list items is maintained in Anthology Student.

Prerequisites

The staff group must not be:

  • Associated with staff members

  • Configured as a template with a Parent Group of Instructor Group or Admission Rep Group

  • System-defined

If your institution uses the Student Financial Aid Automated Awarding (SFAAA) feature, the staff group must not:

  • Be assigned to staff members who are Operational Managers (You must change the Organizational Hierarchy or Delegation configuration in SFAA to delete the staff group.) 

  • Be part of a Delegation User Group (You must change the Delegation configuration in SFAA to delete the staff group.)

To delete a staff group:

  1. Highlight the record.

  2. Select Delete on the toolbar.

The item is:

  • Removed and the list is redisplayed

  • No longer available to select for staff members
