Course Lists

Use the Course List page to add the catalogs and configure the course categories and courses for an area of study. You can also configure the elective pools and substitution pools for courses.

Prerequisites

Authorizations:

  • Academics - Configuration - View

  • Academics - Configuration - Manage

Your institution must have selected Enable CatalogsClosed Enables catalogs for the campus. Your institution must select the check box to enable catalogs for all campuses. when configuring the Academic Records settings for the campus.

Your institution must have configured:

  • Catalog years (Configuration >  Academic Records > Catalog Years)
  • Course categories (Configuration > Academic Records > Course Categories)

  • Courses (Configuration > Academic Records > Courses)

To use pools to build elective or substitution pools, your institution must have: 

  • Selected Yes for Enable Pool Based Elective PoolsClosed Select Yes to configure course pools. Once you have configured your pools, you can use the pools when you create a course list in the program version or area of study for elective and substitution pools. If a program version or area of study has existing catalogs, those can still be maintained manually by adding and removing course groups and individual courses. Select No to continue to manually create the elective and substitution pools by adding courses and course groups for each program version and area of study. when it configured advanced features in the system settings for Anthology Student

  • Configured pools (Configuration > Academic Records > Pools)

If your institution wants to create and manage pool conditions, set the Enable Pool Conditions for Pool Based Elective PoolsClosed This advanced feature option enables pool conditions within elective pools. It can be enabled only if Pool-based Elective Pools flag is enabled. to Yes in Settings > System > Advanced Features.

If you are unfamiliar with how the course list works with the course fulfillment order and the DPA, refer to Background for Course Fulfillment Orders.

Add or Edit Catalogs, Categories, and Courses

To control the order that Anthology Student uses when a course appears more than once in the course fulfillment order used for the degree progress audit (DPA), you should configure the orders for the following in your course list.

  • Categories
  • Courses
  • Elective pool courses

The order you specify here for the categories is the order in which they will be displayed on the DPA. Within the categories, Anthology Student displays:

  • First, the required courses in the order specified
  • Then, the elective pools in the order specified

When you add categories, courses, and elective pool courses to existing course lists, Anthology Student automatically assigns the next available number in the order.

For example, if you have 2 existing categories for a program version and you:

  • Did not specify an order, Anthology Student assigns the new category to 1
  • Did specify an order with the categories in 1 and 2 in the order, Anthology Student assigns the new category to 3

You can still change the order.

You cannot modify the entry for the default catalog (Default - None); however, you can associate a category or add courses from a category.

You must add at least one category to a catalog. Once you add the category, Anthology Student automatically saves the new catalog and category. If you change the entry for a category, you must save those changes using Save.

  1. In the Catalogs grid on the Course Lists page, review the list of catalogs.

    CatalogClosed The catalog contains the courses required for a program version or area of study. Catalogs are configured by your institution. If all the campuses within a campus group are configured with Enable Catalogs, this field is displayed as required. The Default - None catalog should not be used.

    Catalog CodeClosed The catalog contains the courses required for a program version or area of study. Catalogs are configured by your institution. If all the campuses within a campus group are configured with Enable Catalogs, this field is displayed as required. The Default - None catalog should not be used.

    Effective End DateClosed The last date the item is effective or can be used. Depending on the context of the associated record, the end date can also be the end of a time range, session, or activity (e.g., job, program, course, term, payment period, academic year, enrollment).

    Effective Start DateClosed The first day the item takes effect or becomes active. Depending on the context of the associated record, the start date can also be the start of a time range, session, or activity (e.g., job, program, course, term, payment period, academic year, enrollment).

    Elective and SubstitutionClosed Indicates how the elective and substitution pools for the catalog were built. Uses Pools configuration indicates that your institution enabled the advanced feature for pool-based elective pools during configuration, and the elective and substitution pools were built using the configured pools (Configuration > Academic Records > Pools). Uses manual configuration indicates that the elective and substitution pools were built manually by adding courses and course groups. They were either built before the advanced feature was available in version 21.1, or the advanced feature was not enabled by your institution. The column for Default - None is blank because the value does not apply.

  2. To: 

    • Add a catalog, select Add, select a catalog, and select Select.

    • Edit a catalog, select the catalog.

    You must select a catalog other than Default - None. The Default - None catalog should not be used because it is included only for backwards compatibility with the legacy interface of Anthology Student.

  3. In the Categories grid, review, specify, or change the values.

    Calculated CoursesClosed The number of courses calculated for the category.

    Calculated CreditsClosed The number of credits calculated for the category.

    Calculated HoursClosed The number of hours calculated for the category.

    Calculated Outside Course Work Hours Closed The value of out-of-class hours. Specify the value in five-minute increments as expressed in hour decimals. For example, 10 minutes is 0.17 hours.

    Category CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    DPA/SPE Min GradeClosed The minimum grade point required for fulfillment consideration in the Degree Progress Audit (DPA) and/or the course to apply to progress the student in the Student Pace Evaluation process (SPE).

    NoteClosed Area for comments or additional information. Anthology Student displays any notes you specify here on the Degree Progress Audit (DPA) above the grid listing the courses for the category.

    OrderClosed Indicates the order of the associated items.

    RepeatClosed Indicates that courses taken within this category will be added to the student schedule in a future status if the course has a Repeat Grade as configured in Configuration > Academic Records > Course Levels.

    Required CoursesClosed The courses that are required for this category.

    Required CreditsClosed The required number of credits for the category.

    Required HoursClosed The required number of hours for the category.

  4. To: 

    • Add a category, select Add

    • Edit a category, select the highlighted name

  5. Specify or change the following values and select Save.

    CategoryClosed The course categories associated with the record. Course categories are displayed in the order they were set up for the program version.

    Core - Indicates DPA will fulfill core categories before non-coreClosed Select Yes to specify that the category is Core. In the course fulfillment order, Anthology Student will fulfill core courses before non-core courses.

    DPA/SPEClosed The minimum grade point required for fulfillment consideration in the Degree Progress Audit (DPA) and/or the course to apply to progress the student in the Student Pace Evaluation process (SPE).

    NoteClosed Area for comments or additional information. Anthology Student displays any notes you specify here on the Degree Progress Audit (DPA) above the grid listing the courses for the category.

    OrderClosed Indicates the order of the associated items.

    RepeatClosed Indicates that courses taken within this category will be added to the student schedule in a future status if the course has a Repeat Grade as configured in Configuration > Academic Records > Course Levels.

    Required CoursesClosed The courses that are required for this category.

    Required CreditsClosed The required number of credits for the category.

    Required HoursClosed The required number of hours for the category.

    Anthology Student closes the dialog and saves both the category and the catalog.

  6. If needed, edit values in the Categories grid and select Save.

  7. In the Course: <name> grid, review, specify, or change the values.

    AttributesClosed Attributes associated with an instructor or course. Instructor attributes are configured by your institution and associated with the instructor when they are added as a staff member to Anthology Student. Course or course list attributes defined by the institution are associated with the course or course list on the program version level. When courses are copied, and attributes are selected, Anthology Student copies the course attributes using the Attributes, Skills & Resources tile to the new course.

    CourseClosed The course list name.

    CategoryClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    CreditsClosed The credits for the course. This field is read-only unless the course is a variable credits course.

    Date Added Closed The date when the item or person was added or the status change was entered.

    DPA/SPEClosed The minimum grade point required for fulfillment consideration in the Degree Progress Audit (DPA) and/or the course to apply to progress the student in the Student Pace Evaluation process (SPE).

    Exclude DropsClosed Specifies the default setting to use when a course is added to a required course list. Anthology Student uses this setting to determine whether to count dropped courses towards the maximum number of attempts allowed when a student is registered for a course that is not required.

    HoursClosed The hours for the course. This field is read-only unless the course is a variable credits course.

    Maximum AttemptsClosed The maximum attempts allowed for this course. The default number is displayed based on the course configuration.

    NoteClosed If a note was added when an elective or substitution was added, displays the note.

    OrderClosed Indicates the order of the associated items.

    PoolClosed Indicates that it is part of a pool.

    Pool TypeClosed Indicates whether the pool is a substitution/elective pool associated with a program version, area of study, or both.

    Requires AdvisementClosed Select Requires Advisement to place an advisement hold on any student in this registration group. When you select Requires Advisement, you must choose an option in the Advisement Type field: a) The student can obtain a Password and provide this to the Advisor to release the hold and continue enrollment. b) The student is automatically placed in a Student Group. The hold is lifted when the advisor has confirmed that the student has satisfied the requirements, and the student is removed from the group.

    SkillsClosed The minimum credits required for the skills to be automatically added when the student completes the course.

    VariableClosed Indicates that the course is a variable credit course. Variable credit courses are highlighted in green and allow edits to the Credits and Hours fields.

  8. To: 

    • Add a course, select Add

    • Edit a course, select the highlighted name

    • Add a new elective pool, select New Elective Pool

    • Add a new substitution pool, select New Substitution Pool

  9. Review, specify, or change the values.

    Mid Grade Point - SkillsClosed The minimum credits required for the skills to be automatically added when the student completes the course. (Refer to Details for Automatically Added Skills.) 

    Substitution Pool NameClosed The name of the substitution or elective pool assigned to the course from the course list. This value is displayed only in Edit mode.

    Variable

    To:

    • Add an elective pool, select Add. You can add multiple pools to an elective pool, but only one pool with a pool condition.

    • Edit an elective pool, select the highlighted name

    • Remove an elective pool, Remove

    • View the elective pool conditions, select View Pool ConditionsClosed Selecting this option enables you to view pool conditions associated with Elective Pools. This option is only visible when conditions are already configured.

  10. Save your changes.

Details for Automatically Added Skills

Anthology Student automatically adds skills for a course when all of these requirements are met:

  • The course is in the course list for the program version or area of study, or you add a course and select a category
  • The course is configured with associated skills
  • The student completes the course with the required credits
  • The student completes the course with the minimum GPA

Anthology Student will also automatically remove skills if there is a change that causes the course not to meet the requirements. For example, if you change the grade, and it no longer meets the minimum GPA.

To determine whether a course has met the required credits, Anthology Student checks the grade scale. If the credits earned in the grade scale are greater than or equal to the value for Min Grade Point - Skills configured on the program version or area of study, the requirements are met, and Anthology Student adds the skills.

If a minimum GPA is configured for the course for the program version or area of study using the Min Grade Point - DPA/SPE field, Anthology Student also verifies that the minimum GPA is met before the skills are added.

Anthology Student automatically adds skills for transfer credits when:

  • A relationship was added to a course at your institution, and the course is configured with associated skills
  • The transfer credits are approved

For Anthology Student to automatically add skills for transfer credits, your institution must also have selected Yes for the following advanced feature: Allow Advanced Transfer CreditClosed Select Yes to configure complex Transfer Types such as one-to-one, one-to-many, many-to-one, and many-to-many. Select No if you only want to use the existing options for transferring credits.

Anthology Student only automatically adds skills following your upgrade to version 24.0. (Completed courses that meet the requirements and transfer credits that were approved before upgrading to 24.0 will not have skills automatically added.) 

Electives and Substitutions Tab

You can use the Course List page to add an elective pool for an area of study. You can also add or edit the substitution pool for a course in the course list for an area of study. This is done if one or more courses can be substituted for the course.

There is more than one method for adding courses to elective and substitution pools. You can:

  • If your institution enabled pool-based elective pools during configuration and configured the pools, you can use the course pools your institution configured to build the elective and substitution pools

  • Add course groups and courses manually to the pools

Courses in the pool are then maintained in the configured course pool, and any changes made to the configuration are reflected in the elective and substitution pools here.

Because the ability to build elective and substitution pools using configured pools was added in version 21.1, catalogs with pools built manually must be maintained manually. For example, if you:

  • Enable and configure pools in version 21.1 and add a catalog, the Electives and Substitution grid will have buttons for adding and removing pools. The Electives and Substitutions tab will also be available so that you can view the pools and the list of courses in the pool.

  • Do not enable and configure pools in 21.1 or select a catalog added before 21.1, the Elective and Substitutions grid will have buttons for adding and removing courses and course groups. The Electives and Substitutions tab will also be disabled.

Add or Edit an Elective Pool

  • Categories
  • Courses
  • Elective pool courses

  3. Review, specify, or change the values.

    CategoryClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    CreditsClosed The credits for the course. This field is read-only unless the course is a variable credits course.

    DPA/SPEClosed The minimum grade point required for the degree progress audit or student pace evaluation process.

    Elective Pool NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    Exclude DropsClosed Specifies the default setting to use when a course is added to a required course list. When you expand the elective pool in the Course Requirements grid on the Degree Progress Audit (DPA) page, Anthology Student shows the note above the course grid. On the Degree Pathway page, selecting the highlighted elective pool name in a plan brings up a dialog box where the note appears at the top.

    OrderClosed Indicates the order of the associated items.

    Anthology Student adds the pool to the Elective and Substitutions grid and prefixes the name with EP.

Add or Edit a Substitution Pool

  1. If not already selected, select the catalog in the Catalogs grid.

  2. Take the appropriate action.

    Task Actions to Take
    Add a new pool
    1. In the Courses List, select the entry for the course.

    2. Select New Substitution Pool in the toolbar.

    3. In the dialog, specify a name for the substitution pool. You can also specify a Note.

    4. Save your changes.

    Edit the pool
    1. In the Courses List, select the highlighted name.

    2. Change the value for Substitution Pool NameClosed The name of the substitution or elective pool assigned to the course from the course list. This value is displayed only in Edit mode..

    3. Save your changes.

Reminder About the Methods for Adding Courses to Elective and Substitution Pools

There is more than one method for adding courses to elective and substitution pools. You can:

  • If your institution enabled pool-based elective pools during configuration and configured the pools, you can use the course pools your institution configured to build the elective and substitution pools

  • Add course groups and courses manually to the pools

The procedures you follow to add and manage the pools for elective and substitution pools are basically the same, so the procedures that follow apply to both.

Add and Manage the Course Pools in the Pool

Follow this procedure if both of these conditions are met.

  • Your institution enabled and configured pools.
  • The course is for a catalog that you added in version 21.1 or later.

There is also more than one location you can use to add and manage pools. You can add and manage pools using the Elective and Substitutions grid on the: 

  • Course Lists tab

  • Electives and Substitutions tab (The tab also displays the courses in the pool in the order they were configured in the pool.) 

  1. To use the: 

    • Course Lists tab, select the entry for the pool in the Elective and Substitutions grid. Anthology Student enables the toolbar buttons.

    • Electives and Substitutions tab, review the following values.

      CourseClosed The code and name of the course associated with the record. Some pages also indicate the course status (Active or Inactive).

      Pool NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

      Pool TypeClosed Indicates whether the pool is a substitution/elective pool associated with a program version, area of study, or both.

      Select the highlighted name of the substitution pool in the Electives and Substitutions grid. Anthology Student switches to the Electives and Substitutions tab and enables the toolbar button there.

  2. Take the appropriate action.

    • Add a pool to the elective or substitution pool

      1. Select Add Pool

      2. Review the values and select one or more pools.

        ActiveClosed Specifies whether the associated record is active.

        CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

        NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

      3. Select Select. Anthology Student adds the pools to the grid.

        1. Select the check box for the pool.

        2. Select Remove Pool.

      4. If needed, change the OrderClosed Indicates the order of the associated items. of the pools in the grid and select Save

        1. Select the entry in the grid for the substitution pool.

        2. On the toolbar, select the button appropriate for the type of pool. Either: 

          • Delete Elective Pool

          • Delete Substitution Pool

          Anthology Student displays a confirmation dialog to delete the pool and any pool associations.

        3. Select Delete.

    • Remove a pool from the elective or substitution pool

    • Delete the elective or substitution pool

Add and Manage Courses and Course Groups Manually in the Pool

Follow this procedure if either of these conditions are met:

  • Your institution did not enable and configure pools.
  • The course is for a catalog added before Anthology Student version 21.1.

In the Electives and Substitutions grid, take the appropriate action.

  • Add courses to the pool

    1. Select the entry for the substitution pool.

    2. To add: 

      • Individual courses, select Add Course to Pool
      • All the courses in a course group, select Add Course Group to Pool
    3. In the dialog, select the courses or course groups.

    4. Select Select. Anthology Student closes the dialog and displays the courses.

    5. To display the courses in a specific order during advising, specify the Order.

    6. Save your changes.

  • Remove a course from the pool

    1. Select the check box for the course.

    2. Select Remove Course.

  • Remove all courses from the pool

    1. Select the entry for the pool.

    2. Select Remove All Courses.

  • Delete the pool

    1. Select the entry for the pool.

    2. Select Remove Pool.

     

If You Edit the Course List for a Program Version or Area of Study

If you change the course list for a program version or an area of study, Anthology Student does not automatically update the course lists, degree progress audit, and degree pathways for students enrolled in the program version. To propagate the updates for the students, go to Processes > Academic Records > Update Student Course Lists and Requirement Rules.
